ABSTRACT:
A typical claim form and supporting documentation has between 35 and 50 pages in both paper and digital format. Previously, the Trust Services staff would manually process the forms and related documents multiple times, resulting in increased costs for personnel, supplies and storage space. With Ascent Capture as the information capture solution for processing the claim forms, document handling has been reduced to a single event and claim information is immediately accessible from Trust Services' electronic database, dramatically reducing the need for handling and physical storage space.
To initiate an information capture system that would provide proper indexing and queuing of claim forms for processing, Trust Services enlisted the expertise of Business Imaging Systems, Inc. (BIS), an Edmond, Okla.-based systems integration firm and Kofax Certified Solutions Provider (CSP) that specializes in providing complete document management solutions.
BIS developed a custom component module with functions specialized for Ascent Capture that would match and categorize digital and paper claim forms and related support documents, and then make them available in a central repository for real-time access and distribution by Trust Services staff members. Paper documents are fed through a Bell+Howell Spectrum 8125 high-volume scanner and then placed in an electronic holding queue where the Trust Services analyst teams can index each document with the associated claim file.
